Your contract

  • The Lead Guest of a house party enters in to a contract with The White House.

  • By making a booking with us, the first-named person (Lead Guest) on the booking agrees on behalf of all persons staying on the booking that he/she:

    Has read these Agency Booking Terms and Conditions and agrees to be bound by them;

    Has read the Supplier Terms and Conditions and agrees to be bound by them;

    Consents to our use of your information in accordance with our Privacy Policy and you are authorised on behalf of all persons named on the booking to disclose their personal details to us, including, where applicable, special categories of data (such as information on health conditions or disabilities and dietary requirements); and;

    Is over 25 years of age and, where placing an order for services with age restrictions, you declare that you and all members of your party are of the appropriate age to purchase those services (if we discover that the booking is for an i.e. 18-year-old birthday party without a supervision of adults, we reserve the right to cancel the booking). You need to inform us if there are members of the group under 25 years old.

    Accepts financial responsibility for payment of the booking on behalf of all persons staying on the booking and eating/drinking at The White House

Making your booking

  • You may request a booking online, in person, by telephone, by e-mail, or in writing.  

  • You may only make a booking on behalf of someone else if you are authorised to do so and provided that you agree to be responsible for that person's compliance with these terms as if he/she was the person making the booking. 

  • Bookings are non-transferable.

  • A contract is only formed between you and us when we accept your booking request.  No booking request shall be binding on us and no contract shall be formed unless and until we confirm to you that we have accepted your booking request.  

  • If you have any special requirements (for example, because of infirmity or disability) please let us know at the time of booking.  We will endeavour to accommodate your requirements, but our ability to do so is dependent on what these are and on the availability of a suitable room.

Price

  • The price for an exclusive booking of the whole house per night is (except in the case of obvious errors) as quoted by The White House at the relevant time, unless we notify you of a different price at the time of your booking.  Unless stated otherwise, all charges are inclusive of VAT and one breakfast per resident served between 8.00am and 10.00am. Other meals are not included in this price.

  • The price includes overnight occupancy of a double room by one or two adults (plus children in the circumstances set out below) and the following morning's breakfast.  No more than two adults may occupy the room unless agreed with management prior to your stay. Breakfast is served between 8.00am and 10.00am, or as otherwise advised to you upon arrival.  

  • The price does not include the cost of any other of our chargeable services which you might use during your stay, such as the cost of laundry, honesty bar, corkage, drinks, dinner, lunch, extra breakfasts, extra room changeovers. You will be charged for any use you make of these services at the rates current at the time of your stay.

Payment

  • 25% of the total reservation as deposit is required to confirm your booking.. No rooms for any date will be held, even on a provisional basis, until a deposit payment has been received. 50% of the total is due 12 weeks prior to your stay and the full balance is due 6 weeks prior to your stay. Any extra meals organised before your stay, must be paid in full then with the balance of your payment.

  • If you fail to settle your account upon departure, your credit or debit card will be charged for the full amount due.

  • We require credit card details for the security deposit of £1500 in case of any damages and to cover extras such as the honesty bar and corkage.

  • By entering into a contract with us you accept responsibility for paying all charges due to us under the contract. By providing your credit/debit card details to us when making your booking you are irrevocably authorising us to debit your card by the amount of this charge (and any other charges due to us under this contract).

    • We can email a payment request link, which enables you to make an online payment using our secure payment portal.

Cancellation

  • All deposits are non-refundable.

  • Any cancellation or amendment request must be sent to us via email and will take effect on the day we acknowledge it, ie when you have received a response confirming it.

  • Any cancellation within 12 weeks of your arrival date will require payment of 50% of the full charge.

  • Any cancellation within 6 weeks of your arrival date will require payment of 100% of the full charge.

Check in and check out

  • Check in: Your rooms will normally be available for you from 4pm on your scheduled day of arrival.  

  • Please let us know if you are likely to arrive after 7pm.  

  • Check out: Unless we specifically agree otherwise with you in writing, you must vacate your rooms and the house by 10:30am on your scheduled day of departure.

  • If you do not vacate your rooms/the house as agreed, you will be charged for another night, including possible further compensation if the next guests stay is affected negatively.  

  • Room keys must be returned to reception on departure. Lost keys are a chargeable item.

alcohol

  • The White House has an honesty bar stocked with a variety of alcoholic and soft drinks. If you have a particular wine, champagne or beer you would like us to stock, please contact us prior to your stay.

  • We have a wine list available for pre order. Please contact to discuss or for a copy.

  • Please do not bring your own alcohol to consume at The White House. If you do choose to supply your own wine, after discussion with the White House, you will be charged corkage of £15 + VAT per 700ml bottle

  • Corkage will be charged to the lead guest on any alcohol brought in to and consumed on the White House premises

guests and services

  • A minimum stay of 2 nights applies at weekends, when booking the whole house all rooms will be charged in full whether or not they are occupied. Breakfast is served from 8am until 10am. One menu order per guest. Any extra guests or servings will be charged at the current rate at the time of the stay.

  • Check in is from 4pm on the day of arrival.

  • Check out is by 10:30am on the day of departure.

  • A minimum stay of 2 nights applies at weekends.

  • When booking a whole house party, all rooms will be charged in full whether or not they are occupied.

  • We do not offer a room turn around service for a whole house booking, all rooms need to be allocated for the duration of the booking and a lead name for each room provided prior to your stay.

  • We are unable to accommodate more than 28 guests staying at The White House at any one time.

  • We are able to provide a limited number of extra beds at a charge of £35.00 per person per night in some of our rooms as described on our website at our discretion.

  • Each guest must be allocated a specific bed and bedroom, including any extra beds requested, by the lead booker and we must approve this allocation prior to arrival.

  • It is a booking condition that the number of people occupying the property may not exceed the agreed capacity of the specified 24 adults without prior written consent. We reserve the right to terminate the booking without refund in the event you breach this condition.

  • No outside food or drink may be brought to The White House. Only food and drink purchased on the premises may be consumed on the premises. This must be agreed prior to arrival as per our contract, but if it is not, then we reserve the right to charge corkage for any alcohol that is consumed on the premises at our discretion.

Children

  • Subject to suitable rooms being available, one or two children under the age of 12 and a baby may share a room with one or two paying adults. There will be a daily charge per child to cover the cost of extra beds and breakfast.

  • You must let us know at the time of a group booking if you wish any children to share with an adult, and it will allocate suitable rooms if available.  

  • Children under the age of 12 must not be left unattended in the house or surrounds at any time.

  • We are also happy to provide travel cots, without bedding, for some of our rooms, which we consider to be suitable; these are free of charge.

No Smoking

  • Smoking is not allowed in any of our rooms or at all inside the house.  If it is judged that you have been smoking in your room, we shall charge you an additional £500.00 to cover our costs to have the room cleaned. This charge shall be applied entirely at our discretion.  

Dogs

  • A maximum of 2 dogs per room are permitted to stay in rooms 1 and 12 with prior permission only.

  • There will be a charge for dogs staying in these rooms.

  • Dogs are not allowed on the beds or furniture.

  • Dogs may not be left unattended anywhere in the bedrooms, house or grounds.

  • Dogs must remain under control at all times.

  • We regret that dogs are not allowed in any dining rooms or in the kitchen.

  • We ask you to clear up after your dogs. 

Events outside our control

  • We shall not be liable or responsible for any failure to perform, or delay in performance of, any of our obligations under our contract with you that is caused by events outside our reasonable control (such as serious damage to our premises, serious adverse weather conditions, a pandemic or epidemic, or interruption or failure of utility services such as electric power, gas or water). 

Damages

  • The cost of damages will be at the discretion of the duty manager, and will be calculated on replacement of items damaged, cleaning required and any loss of income due to house/room being unavailable to let. Any damages to rooms or communal areas caused by neglect or misuse will be subject to charges including ‘loss of use’ charges if the stay of the next guest is delayed, cancelled or in any way impacted.

  • A damages deposit of £1500.00 is required at the time of booking, this will be refunded within 14 days of your departure if there are no damages to The White House and the Honesty Bar is reconciled correctly.

  • We reserve the right to hold all or part of the damages deposit to cover reasonable costs of repair or replacements. 

  • The lead guest (organiser) is responsible for any damages caused to The White House fixtures, fittings, furniture and un-recorded honesty bar stock and charges will apply as The White House management see necessary.

  • Keys and Remote Controls are chargeable to the lead guest at £50 per item if lost or accidentally taken

Our liability to you

  • In the event that a room is not available by your scheduled check-in time, our sole liability will be to use reasonable endeavours to offer you alternative accommodation at another nearby venue of a similar standard for a similar price. 

  • Our total liability to you for any loss you suffer will be limited to the proportional price of your booking.  We will not be liable for any losses not reasonably foreseeable to both you and to us when the contract was entered into, or for any losses that were not caused by any breach of contract or breach of statutory duty or negligence on our part. 

  • Nothing in these terms excludes or limits in any way our liability for death or personal injury caused by negligence, or for fraud or fraudulent misrepresentation, or for any other matter for which it would be illegal or unlawful for us to exclude or limit (or attempt to exclude or limit) our liability.

Your liability to us

  • You will be liable for any damage you cause to your room or to other areas of our property. The Lead Booker is ultimately responsible for damages, disruption or theft caused by all the guests in the booking and extra guests who are not staying at the White House.

  • Any error or omission in any information or document issued by us shall be subject to correction provided that the correction does not materially affect the contract.

  • If any court or competent authority decides that any of the provisions of these terms are invalid, unlawful or unenforceable to any extent, the term will, to that extent only, be severed from the remaining terms, which will continue to be valid to the fullest extent permitted by law.

  • No person who is not a party to our contract with you shall have any rights under or in connection with it.

  • All written communications by you to us must be sent by post to The White House, Sussex Farm Lane, Norfolk; PE31 8JY or by e-mail admin@stayatthewhitehouse.co.uk (or to such other address that we may notify to you).  We may send written communications to you at either the e-mail or postal address you give us.  

  • In these terms a "working day" means a day other than a Saturday, Sunday or public holiday in England when banks in London are open for business.

  • These terms shall be governed by English law and shall be subject to the non-exclusive jurisdiction of the English courts.
